182 WRITING COACH Writing coach Formal email The purpose of formal emails is to give or ask for information, respond to a request, apologise, complain, make suggestions or apply for a job. The recipient is usually someone the writer does not know so well or not at all. The email should be clear and to the point, and important information should be emphasised. If possible and appropriate, set phrases (I look forward to …) can be used. Colloquial language and contractions should be avoided. See also p. 43. Sample task You are disappointed by a weekend trip to London as the trip did not meet your expectations. You have made some notes and decided to write an email of complaint to the travel agency. In your email you should: explain why you chose Easy & Excellent describe what went wrong suggest what Easy & Excellent should do Write around 250 words. Formal emails in a nutshell: Start with: From: your name and email address To: the person you are writing to Subject: what the email is about Address the person you are writing to in a formal way and sign off at the end. Give your reason for writing in the introduction. Start a new paragraph for each content point (bullet point).
